Privacy policy
Who we are
m4 innovation, LLC ("m4," "we") is based in Fairhope, Alabama. We run 4mul8, Continuous and grō, and publish The Room. This policy covers m4innovation.com, The Room at theroom.m4innovation.com and the member portal at members.m4innovation.com.
The short version: we collect only what we need to reply to you, run the rooms and keep members connected. We never sell it, never share attendee lists and never attribute what is said in a room to the person who said it.
What we collect
We collect information only when you give it to us or use a member feature. We do not buy data about you.
| Where | What we collect | Why |
|---|---|---|
| Contact form | Name, email, title, organization, the topic you choose and anything you write in the message | To reply to you and, if there is a fit, to arrange a conversation |
| The Room emails | Email address and name, if you give one | To send new pieces you asked to receive. We see totals, such as how many emails were opened, never who opened what |
| Member portal | Name, title, organization, LinkedIn link, photo, areas of conversational interest and whether your profile is visible to members | To show you to the leaders at your table, schedule sessions and manage your access |
| Introductions | Who asked to be introduced to whom, when, and whether it happened | To make introductions and to suggest better ones over time. The note written with a request is emailed to the recipient and never saved |
| Event logistics | Travel, dietary and other details you share with Kristen for an in-person room or dinner | To shape your experience with the hotel and restaurants we work with for that event. Shared only with them, and only what they need |
Please leave anything confidential to your organization out of the contact form.
How we use it
We use what you share to reply to you, compose the rooms, run the portal, send The Room and make introductions you ask for. We may use software tools to help us prepare introductions. They support our judgment and never replace it: a person at m4 makes every introduction, and only when both sides agree.
What we never do
- Sell, rent or trade your information.
- Share attendee lists or email addresses. Members see who sat at their table, and contact details stay private until each leader chooses to share them.
- Attribute anything said in a room, a dinner or a working session to the person who said it.
- Record the conversations in our rooms.
- Store documents from your organization in the portal.
Who else handles it
A small number of service providers run parts of the site for us. They handle your information only to provide that service, under their own privacy and security terms.
| Service | What it does for us |
|---|---|
| Website host (Netlify) | Serves m4innovation.com and delivers contact form submissions to us |
| Ghost(Pro) | Publishes The Room and sends its emails |
| Stripe | Connected to Ghost to manage member access to private Room pieces. No one pays through the site |
| Member portal provider | Hosts the current portal (WordPress with Ultimate Member, on InMotion Hosting). From early 2027, a new portal built on Supabase replaces it |
| Email delivery | Sends introductions, confirmations and password resets |
| Google Analytics | Tells us how many people visit the public site and which pages they read, in aggregate |
We may disclose information if the law requires it.
Cookies
The public site uses Google Analytics, which sets cookies to count visits and see which pages are read. We use it only in aggregate and do not use its advertising features. You can block it with your browser settings or Google's opt-out add-on. The portal and The Room use a sign-in cookie to keep you signed in.
Our site does not respond differently to browser "Do Not Track" signals. We do not allow other companies to track you across sites through ours.
How long we keep it
Contact form messages are kept while a conversation is active and deleted within 12 months if nothing comes of it. Portal profiles are kept while you are a member and for former members who may return; ask and we will delete yours. Introduction records are kept to improve future introductions.
Your choices
- Hide your portal profile from other members at any time.
- Unsubscribe from The Room using the link in any email.
- Ask us to show you, correct or delete what we hold about you.
If you live in California or another state with a privacy law
We do not sell or share your personal information, as those terms are used in state privacy laws, and we do not use it for targeted advertising. Wherever you live, you can ask what we hold about you, ask us to correct or delete it, and expect no penalty for asking. Use the contact form to make a request and we will respond within the time the law allows.
Security
Access to member information is limited to the people at m4 who need it, and every admin change in the new portal is logged. No system is perfectly secure, so please do not send anything confidential to your organization through the site.
Changes
If we change this policy, we will update the date at the top. If a change affects how we use member information, we will tell members directly.
How to reach us
Use the contact form and choose "Something else." A person at m4 will reply.
